The essentials
Without an account, your rooms, measurements, scans and photos stay on your device. An account is optional. With an account, your account data is stored on our server in Frankfurt am Main; with Pro or Business, Room Atlas also syncs your rooms and measurements between your devices. Room Atlas does not use any analytics, advertising or tracking services. Audio recordings never leave your device.
Your Room Atlas account
For an account, we process your email address, your password (stored only as a non-reversible hash), your first and last name, an account identifier and the time of each sign-in. The same account applies in every Room Atlas app and on the website. With the account, we create a record for you in our customer management system with your name, email address and customer number. The legal basis is the performance of the contract of use (Art. 6(1)(b) GDPR).
You can change your name, email address and password in the app under Account or on the website under My account. You can also delete your account there yourself; if you have a running subscription, cancel it first. When you delete your account, the account data and everything that syncing has stored on the server are deleted. Information that we are required by law to retain (for example on invoices, § 147 AO, § 14b UStG) is kept with processing restricted until the end of the retention period and is then deleted. The rooms on your device remain until you delete them there.
Syncing between your devices (Pro and Business)
With Pro or Business, Room Atlas syncs what has changed about every 10 seconds while the app is open: rooms and projects with all their details, room surveys and scans, photos of the rooms, measurements with the calculated impulse responses, reports and settings. For each change, we store the time and the type of device (such as “iPhone”) so that the right question can be asked when changes are made at the same time. Anything that belongs to only one device stays there: the microphone calibration, the output level, the measurement chain and the room last opened.
The data is stored until you delete it in the app or delete your account. If your subscription ends, syncing ends; the stored data remains in your account until you delete it. The legal basis is the performance of the contract (Art. 6(1)(b) GDPR).
Business customers can record details of their own customers in projects (name, company, address, email, phone). We process these on behalf of the Business customer (Art. 28 GDPR); for this purpose, we conclude a data processing agreement with them.
Business: company and team
For Business, we process the company details (name, address, VAT ID, contact person, billing email, number of seats) and the team details: email address, name and role of invited team members, the status of the invitation and the permissions for each project. The company that invites you sees your name and email address (Art. 6(1)(b) GDPR).
Purchases and invoices
On iPhone and iPad, you buy Pro through Apple. Apple handles the payment; we receive from Apple a signed confirmation with the purchase ID, product, term and status, as well as notifications of renewal, cancellation or refund. From this, we store whether and until when your account has Pro.
On room-atlas.com, you buy Pro and Business from Green T GmbH & Co. KG; payment is processed by Stripe. You enter your card or bank account details directly with Stripe; we do not receive them, only whether, when and for what a payment was made. We create the invoice from your name, your address (for Business, the company details) and the purchase, and send it to you by email; you can also find it again on the customer page. The legal basis is the performance of the contract (Art. 6(1)(b) GDPR) and our statutory retention obligation (Art. 6(1)(c) GDPR, § 147 AO).
Emails from us
We send account emails (confirmation, new password, change of email address), team invitations and invoices via Resend (Art. 6(1)(b) GDPR). We only send marketing emails if you have expressly consented to them.
Microphone and measurements
Room Atlas only records during a measurement, using the microphone you have selected. The analysis (frequency response, impulse response, reverberation) runs on your device. What is stored are the results and the impulse responses calculated from them, never the audio recording itself. Without syncing, this stays on your device; with Pro or Business, results and impulse responses are synced as described above.
Camera, LiDAR and photos
For the room scan, the Room Atlas Scanner and the app on iPhone and iPad use the camera and LiDAR. Apple’s RoomPlan recognizes walls, doors, windows and furniture on the device. If you wish, you can take a photo of the room. The scan and photo stay on the device until you share or transfer them yourself, or they are synced with Pro or Business.
Transfer over your own Wi-Fi
If you send a scan from your iPhone to Room Atlas on your Mac, this happens directly over your own Wi-Fi via a one-time link from a QR code. The scan is held temporarily on the Mac for no more than 15 minutes and is deleted as soon as Room Atlas has imported it. If the Mac app controls an AV receiver or a loudspeaker processor, it connects only to that device on your home network or via USB. In doing so, setting values are transferred, not personal data.
Storage on the device and backups
The apps store rooms and measurements in their own storage on the device and create a backup every day, likewise only on the device; it is kept for 14 days. The test version in the browser stores rooms and measurements in your browser’s storage. This storage is necessary for Room Atlas to function (§ 25(2) no. 2 TDDDG); you can clear it at any time in your browser settings.
Updates of the desktop apps
Room Atlas for Windows and Linux, and the download for Mac, check with our download server at startup and every few hours thereafter whether a new version is available, and download it if so. No information about you or your rooms is sent in the process; the provider processes technically necessary data such as IP address and time for secure operation (Art. 6(1)(f) GDPR).
Website, sign-in and cookies
The website is hosted by Vercel; the server functions run in Frankfurt am Main. When you visit the website, the provider processes technically necessary data such as IP address, time and the address requested for secure operation (Art. 6(1)(f) GDPR); this data is deleted after a short time. The website serves fonts and images itself, without requests to third-party servers. When you sign in, we set technically necessary cookies that keep you signed in (§ 25(2) no. 2 TDDDG); “Sign out” deletes them.
Test version in the browser: sign-in and cookie
The test version in the browser is password-protected. After you sign in, the server sets a technically necessary cookie that keeps you signed in for 30 days. It contains only a signed session identifier, cannot be read by scripts and is only sent over encrypted connections (§ 25(2) no. 2 TDDDG, Art. 6(1)(f) GDPR); “Sign out” deletes it. The server does not store any measurement data; when you visit, the provider processes technically necessary data such as IP address, time and the address requested for secure operation and deletes it after a short time (Art. 6(1)(f) GDPR).
Test versions via TestFlight
We distribute test versions for iPhone and iPad via Apple TestFlight. For your participation, Apple processes data under its own terms, such as your Apple ID. With a public invitation link, you take part without giving your name. If you send feedback in TestFlight or the app crashes, we receive your text, where applicable a screenshot, and technical information such as device, system version and app version. We use this only to find bugs and improve Room Atlas (Art. 6(1)(f) GDPR).
Contact by email or phone
If you write to us or call us, we process your details to respond to your inquiry (Art. 6(1)(b) and (f) GDPR). The data is deleted as soon as it is no longer needed for this purpose and no retention obligations apply.
Service providers and transfers
We use the following service providers for our operations. A data processing agreement under Art. 28 GDPR is in place with each of them; where data may be transferred to the USA, this is safeguarded by EU standard contractual clauses under Art. 46 GDPR or by the EU-US Data Privacy Framework, as applicable.
